Account and Data Deletion

This page explains how to obtain deletion of a user account on the Sphère platform and of the data attached to it, whichever application is used (web, iOS, Android) and whichever channel the data arrived through.
It also serves as the deletion procedure for data originating from social messaging channels connected to the platform.
#Before you request
Sphère is deployed on behalf of organisations — an employer, a public body, a client company. A user account belongs to the workspace of the organisation that opened it.
Two practical consequences:
- Your organisation's administrator can deactivate or delete your account immediately, without going through us. That is the fastest route.
- Some content produced with your account belongs to the organisation rather than to you: a message sent in a team conversation, a file uploaded to a shared space, a customer record you completed. Deleting your account does not systematically erase those, because they form part of the organisation's business records and it decides their fate. We state this to avoid any misunderstanding about the scope of a request.
#Requesting deletion
Route 1 — through your organisation
Contact the administrator of your Sphère workspace. They can delete your account and the associated access from the administration interface, with immediate effect.
Route 2 — by email, to the publisher
Write to privacy@comunikcrm.com with the subject "Account deletion" and the following details:
- the email address of the account concerned;
- the name of the organisation or the address of the Sphère workspace used;
- the scope requested: deletion of the account alone, or deletion of the account together with the associated personal data;
- if the request concerns a social channel: the channel concerned and the conversation identifier, where you have it.
Identity verification may be required before any processing: this is what prevents a third party from having someone else's account deleted.
There is currently no self-service deletion button inside the application. Requests therefore go through one of the two routes above, and are handled within the timeframes set out below.
#What happens next
1. Acknowledgement within 72 working hours, with a tracking reference. 2. Verification of the requester's identity and, where appropriate, consultation with the organisation responsible for the workspace concerned. 3. Execution: deletion of active data within a maximum of 30 days from the verified request. 4. Backups: backup copies still containing the data are purged by rotation, within a maximum of 90 days. 5. Written confirmation of completion, quoting the tracking reference.
#Scope of deletion
Deleted: the account and its credentials, the profile, device tokens and sessions, preferences, and the associated personal data covered by the request — subject to the instructions of the responsible organisation.
Retained, and why:
- data that the law requires us to keep — accounting and billing records in particular — for the statutory period;
- security logs strictly necessary as evidence for an incident under investigation;
- content forming part of the client organisation's business records, where that organisation retains responsibility for it;
- anonymised data, which no longer identifies you and is therefore no longer personal data.
#Data from social channels
Where a client organisation connects a social messaging channel (Facebook, Instagram, WhatsApp and others), conversations with the public are brought into the platform so that requests can be handled.
To have that data deleted:
- write to privacy@comunikcrm.com, stating the channel and, if possible, the conversation identifier;
- or withdraw the authorisation granted to the application from the settings of the platform concerned: the connection ends and we receive the corresponding deletion instruction.
Requests are handled within the same timeframes as above, and a tracking reference is provided to you.
#Deleting the app does not delete the account
Uninstalling the mobile application removes local data from the device and stops notifications. The account itself remains open on the server side. To delete it, you must use one of the two routes described above.
